Cancellation & Refund Policy

1. Monthly Retainer Services

PREM VA provides remote administrative services under a structured monthly retainer model.
Unless otherwise stated in a signed agreement:

  • All retainer services require a minimum 3-month commitment.
  • Monthly fees are billed in advance.
  • Retainer fees are non-refundable once the service month has begun.

This structure ensures continuity of service and allows proper planning of workload and capacity.

2. Early Termination

If a client chooses to terminate services before the completion of the agreed minimum term:

  • Remaining balance for the minimum commitment period may still be due.
  • Any outstanding invoices must be paid in full prior to termination.

Termination terms may vary if otherwise specified in a signed service agreement.

3. Add-On & Project-Based Services

Project-based services (including but not limited to EMR/CRM optimization, SOP development, or revenue cycle clean-up) are billed as follows:

  • A non-refundable deposit may be required prior to project initiation.
  • Once work has commenced, payments are non-refundable.
  • If a project is paused or delayed due to client inaction, timelines may be adjusted accordingly.

Completed deliverables are non-refundable.

4. Client Cancellation of Discovery Calls

Discovery calls may be rescheduled with at least 24 hours’ notice.

Repeated no-shows may result in denial of future booking requests.

5. Refund Exceptions

Refunds are not provided for:

  • Unused monthly hours
  • Client-side delays
  • System access limitations
  • Change of business direction
  • Dissatisfaction resulting from unmet expectations not outlined in writing

PREM VA is committed to professional service delivery and open communication to prevent misunderstandings.

6. Service Suspension

Failure to submit payment by the due date may result in temporary suspension of services until the account is brought current.
